Multi-Currency Payments with Business Central

Overview

Business Central companies can invoice customers in foreign currencies. Benji Pays reads the invoice currency, the customer's currency code and your company's local currency (LCY) from Business Central, charges the customer through a gateway configured for that currency, and converts the amounts it posts using the exchange rates stored in Business Central. This article lists what you must set up and what to expect.

What you need in Business Central and Benji Pays

Benji Pays clearing accounts created from the gateway settings are named per currency, for example BPCLR-USD, and only appear in the dropdown for that currency. Any other Business Central G/L account is listed for every currency, so pick carefully.

How amounts are converted

A payment can involve up to three currencies: the currency the customer was charged in (the gateway currency), the invoice (document) currency, and your local currency. Benji Pays converts between them using the Business Central rate for the posting date, then posts the journal line in the currency Business Central expects for that customer. The transaction detail records what happened, for example:

  • "Posted payment to Business Central as CAD 130.00 (USD 100.00 at the Business Central exchange rate 1.3) for INV-1001."
  • "Converted surcharge amount from USD 3.00 to CAD 3.90 at the Business Central exchange rate 1.3."

Surcharge lines post to a G/L account, which Business Central always keeps in your local currency, so a surcharge you see in the invoice currency in Benji Pays is posted in LCY in Business Central.

The amounts shown to your customer on Pay Now links, in the Customer Portal and on receipts are in the invoice currency. Only the accounting entry is converted.

Deposits in a foreign currency

A deposit taken in a gateway currency different from the customer's currency is converted at posting in the same way. The unapplied payment on the customer's ledger is in the customer's currency. Apply it in Business Central as usual.

Errors and how to fix them

Benji Pays never posts a guessed amount. If it cannot convert, the payment is not applied in Business Central and the transaction shows one of these messages:

When a rate is missing, the card or bank charge may already have succeeded. Check the transaction result: if the processor approved the charge but the accounting step failed, fix the rate in Business Central, then record the payment manually in Business Central or contact support to have Benji Pays re-apply it.

Voids and refunds

Reversals and refunds post the exact amount that was originally posted, so a void nets to zero in Business Central even if the rate has changed since. Refunds against a credit memo use the credit memo's currency.
