QuickBooks Desktop & WebConnector Connection

Because QuickBooks Desktop is running on a computer or server in your office, Benji Pays relies on the free QuickBooks Web Connector to enable synchronization of your QuickBooks Desktop Data to Benji Pays. This free utility is provided by, built and maintained by Intuit, the creators of QuickBooks.

The QuickBooks Web Connector must be installed on a computer with QuickBooks Desktop installed, and that has access to your QuickBooks company file, either on the same machine or via your internal network. If you are using a hosted version of QuickBooks Desktop, please contact your hosting provider to confirm that they support the Intuit Web Connector - most do.



Requirements

  • Intuit QuickBooks Canadian or US Versions: Pro (2002 or later), Premier (2002 or later), Enterprise (All Editions) or Simple Start (2006 or later)
  • Intuit QuickBooks Web Connector 2.0.0 or higher



Setup Steps:

  1. Download and Install the latest version of the Intuit QuickBooks Web Connector
  2. Download the QWC file from your Benji Pays account under the "Settings > QuickBooks Desktop Settings" menu link. Save this file to your computer.
  3. Open QuickBooks and open the company file you want to connect Benji Pays to. Note, you can only connect to one QuickBooks file per Benji Account, so make sure you open the correct Company file.
  4. Double click the QWC file you downloaded, this will open the QuickBooks web connector and prompt you to authorize Benji Pays to connect to your company file.
  5. When prompted, select if you want to allow access to your company file only when the file is open, or even when the file and QuickBooks is closed.
  6. Enter the QuickBooks Desktop password for your Benji Pays account in the Web Connector when prompted and perform your first synchronization. You will find this password on the same page where you downloaded the QWC file above. This will import your customers, invoices and other data required into Benji Pays.


If you are not able to get the Web Connector syncing with Benji Pays, Intuit provides a testing tool to make sure your web connector setup is working which is outside of Benji Pays.

If you have any issues getting the test working, you will need to contact Intuit support for help in ensuring the web connector and QuickBooks are setup correctly in your environment.


Using the Web Connector on more than one computer

Benji Pays now supports setting up the QuickBooks Web Connector on multiple computers for the same QuickBooks Desktop company file.

Use this when more than one workstation needs to run the Web Connector, or when you want a backup computer available for syncing. Each computer needs its own Web Connector setup file from Benji Pays. Do not reuse the same .QWC file on multiple computers.

To add another computer:

1. Log in to Benji Pays.
2. Go to Settings > QuickBooks Desktop Settings.
3. In Connected computers, click Add another computer.
4. Enter a label for the computer, such as “Front Desk PC” or “Bookkeeper Laptop”.
5. Copy the one-time Web Connector password shown on screen. You will not be able to view this password again.
6. Download the new .QWC file for that computer.
7. On the new computer, open QuickBooks Desktop and the correct company file.
8. Double-click the new .QWC file.
9. When QuickBooks Web Connector asks for a password, paste the one-time password from Benji Pays.
10. Run a sync to confirm the connection.

Important notes

• Each computer must use its own .QWC file from the Connected computers section.
• Existing Web Connector setups will continue to work.
• You can still connect only one QuickBooks Desktop company file to one Benji Pays account.
• If two computers try to sync at the same time, Benji Pays will allow one sync to run and the other computer will try again on its next scheduled sync.
• If you regenerate a computer’s password, the old password will stop working and the new one must be entered in QuickBooks Web Connector.
• Removing a computer in Benji Pays prevents that Web Connector setup from syncing again.
