Taking a Customer Deposit

This article will show you how to take a customer deposit which will charge the customer's selected card and create an unapplied payment on the selected customer record in QuickBooks.

Instructions for applying the deposit in Xero are also included in this article.




Step 1: Login to Benji Pays.









Step 2: Click on "Take a Deposit" in the blue menu to the left of the screen.











Step 3: Click on "Create Customer Deposit".










Step 4: You will see the "Receive Customer Deposit" screen. Check the "Send Receipt Email" box if you want to send an email receipt. Click the "Attach PDF of Payment" if you want to send a PDF attachment of the payment to the customer. Then click the "Charge and Record Deposit" button.











Step 5: You will see a notification that the card charged successfully along with the transaction messages. You can download a merchant or customer copy by clicking on the buttons. Click the "Close" button when finished.



*Please note this will charge the customer's selected card and create an unapplied payment on the selected customer record in QuickBooks. This unapplied payment will need to be applied to the invoice in QuickBooks once you have created it.*



For Xero users:The deposit does not get applied automatically to Xero. You need to select an account to credit the prepayment to. If the "Create Xero Pre Payment" toggle is in the off position an overpayment will be created instead.









You will find the unapplied payment in QuickBooks, similar to the example below:
